Your Help is Needed!!!

In this area you will find solutions to common problems and easier ways of doing things.  BUT, your help is needed!  Since I have been working on computers for over 20 years, I often do not have a clue was to what the common problems are.  I need input from you on what things people who do not have a lot of computer experience run into and need help with.  PLEASE send me an email, a voice message or catch me in the hall with your ideas on articles to add to this section.

eMail Problems

When I start typing an eMail address in Pegasus, it automatically completes it with a wrong address.

I get delivery failure messages that say "user unknown" but I know the user exists

You just  received an alarming e-mail calling you to action, look for any of these five telltale characteristics before even thinking about sending it along to anybody else

I just received a message from someone I do not know (or maybe you do) that says I sent them a virus.  Is my computer infected?

eMail Problems

When I start typing an eMail address in Pegasus, it automatically completes it with a wrong address.

Pegasus Mail keeps track of the eMail addresses you use.  When you send a message, Pegasus puts the address(es) in a file for future use.  When you start a new message and start typing an address, Pegasus looks for a match and then automatically completes the address for you.  BUT, Pegasus has no way of knowing if an address is invalid.  If you mistyped an address once, Pegasus will keep track of that incorrect address, and complete the address you are typing with the incorrect address.

To correct this, you just need to delete the incorrect address from Pegasus' memory.  To delete an address from the "Recently-used" list do the following:

bulletOpen a new message to send in Pegasus
bulletClick on the Address Book Icon to the right side of the window where you type the To address
bulletClick on the "Recently-used" Tab on the window that pops up
bulletScroll down and single click on the incorrect address; this will highlight it
bulletPush the [Delete] key on the keyboard and presto! the incorrect address is gone
bulletClose the Address Book window
bulletThe next time you send a message to this person you will have to type in the whole address, and from then on Pegasus will auto-complete if for you

 

I get delivery failure messages that say "user unknown" but I know the user exists

The most common reason for these messages are incorrectly formatted addresses in the message being sent.  The format of an email address is critical.  Email addresses can be put in two forms:

Simple address of just the username, an "@" and the domain.  (example: tsmith@thebusiness.com)

The second form contains both the recipient's Name followed by their simple address.  It is formatted like this:

"Tim Smith" <tsmith@thebusiness.com>   or    Tim Smith <tsmith@thebusiness.com>

When you are sending a message to more than one recipient, place a comma between each address.

Some common errors are:

bulletPlacing an extra period after an address. Example: tsmith@thebusiness.com.
bulletMissing one quotation mark. Example: "Tim Smith <tsmith@thebusiness.com>
bulletMissing a "greater than" or "less than" sign. Example: "Tim Smith" <tsmith@thebusiness.com

Remember that Pegasus will save your recently used addresses and will automatically complete them for you.  If you have typed them incorrectly one, Pegasus will complete them for you incorrectly the next time you start typing it.  Click Here to learn how to delete these incorrect addresses from you recently used list.

I just received a message from someone I do not know (or maybe you do) that says I sent them a virus.  Is my computer infected?

Our computers are protected from viruses on several fronts.  First off, we have Symantec's Antivirus software loaded on all our computers.  You should see the icon in the "System Tray" at the bottom right of your screen. (Click Here if you Don't)  This system has one of our servers check with Symantec's web site each night and if there is a new virus update, it automatically downloads it and passes it out to all our computers.

A second line of defense is in our email server.  This system checks each and every message that comes in to us or goes out from us.  Each message and all attachments are scanned for viruses and if one is found, that message is just deleted.

Thirdly, any incoming or outgoing message that has an attachment that is or the type that could possibly carry a virus has that attachment deleted.  That chances that you sent a virus is very small.

So what happened and why did you receive this message?  Viruses today are very complex.  If someone you know, or someone who knows someone you know gets infected with a computer virus this is what happens.  The virus scans their computer for any email addresses it can find on their hard drive.  Your address is one that it found.  Then that computers starts sending our viruses via email and uses the addresses it found (in this case yours) as the return address.  The person who received a virus in one of these message thinks the message came from you.

My advise is to delete the message and forget about it.  There is little hope of tracing it down.

Telephone Problems

When I push the Voice Mail button I am connected to another extension instead

To clear this problem: Push the "Intercom" button, then dial # 7 and your extension number and hang up.

Windows Problems

I keep seeing the icon on my System Tray

This is the Windows Update icon.  This indicates that there us updates for the Windows Operating System (or OS) available.  These updates are important because they keep your computer up to date and provide fixes to problems that could make your computer vulnerable to computer viruses and worms.  If you see this icon:

bulletClick on it
bulletClick on the "Details" button if you are curious about what you are loading
bulletClick on "Install" to install the updates
bulletSome updates require a reboot to complete the install

I Do Not see the icon on my System Tray

Aggggghhhhhh!!!!!! Call Tech Support!!!  You do not have Symantec's Antivirus Software loaded on your computer.  You are extremely vulnerable to computer viruses; in fact you could get infected just by browsing to the wrong web site.  Don't wait, pick up your phone right now and call!
